This agreement is between the business named in the signature block (“you”, “the Client”) and The Food Economist, operated by Godfred Frimpong as a sole trader of 81 Bridge Street, Kingston, HR5 3DJ (“we”, “the Desk”).
By typing your name and submitting the form, you agree to this version. A copy is stored with the date, time, IP address used to submit, and a unique reference.
1. What this is for
You may send us supplier invoices, till summaries, rotas, timesheets, energy bills, bank screenshots and similar records so we can produce a written margin analysis. Those files often include personal data (staff names, hours, customer fragments on a till roll).
You remain the controller of your restaurant’s operational data. We use what you send only to deliver the contracted MyProfit work, to keep engagement and tax records, and to meet the law. We do not sell it, and we do not use it to market to your staff or customers.
2. What we ask you not to send
- Payment card numbers, CVV codes or full bank login details (Stripe already handles checkout).
- National Insurance numbers, passport copies, DBS certificates or medical information unless we have asked in writing.
- More customer personal data than a till summary actually needs. Redact where you can.
If a file is more sensitive than the job requires, we may ask you to resend a redacted copy.
3. How we look after it
- Access is limited to the Desk (Godfred Frimpong) and any named associate engaged on your file.
- The public website is served over HTTPS. Payment card data is handled by Stripe, not stored on this site.
- Files you email or upload are kept on systems we use to run the practice (website host, email, and the tools named in the Privacy Notice).
- We do not publish your figures, suppliers or staff names in marketing without your written permission.
- WhatsApp, if you choose it, is a convenience channel. Prefer email for full invoice packs.
No hosting or email provider can honestly promise that data can never be lost or accessed unlawfully. We will take reasonable care and tell you promptly if we become aware of a personal-data breach that is likely to affect you or your people.
4. Who else may see it
Only what is needed to run the service:
- Website host (currently Hostinger) for the MyProfit site and forms.
- Email provider, and Brevo where a confirmation or follow-up sequence is part of the service you asked for.
- Stripe for payment — not for your invoices.
- Your own appointed accountant or adviser, if you ask us in writing to share the report with them.
We will not disclose your file because a supplier, broker or software vendor asked. The Privacy Notice lists these processors in ordinary language.
5. How long we keep it
Paid engagement records (including this signed agreement, intake, and the report) are normally kept for up to six years for tax, dispute and professional records. Unconverted leads are normally deleted or anonymised within 24 months. You can ask for earlier deletion where the law does not require us to keep a copy.
6. Your rights and ours
People whose data appears in the files (for example employees on a rota) keep their UK GDPR rights. You are responsible for telling your staff, where required, that an independent analyst will see rotas or timesheets for a margin review. We will help with a reasonable access or deletion request that relates to copies we hold.
We may refuse or pause work if the material you send is unlawful to hold, or if you will not confirm this agreement.
7. Confidentiality
Each party will keep the other’s non-public business information confidential and use it only for the engagement, except where disclosure is required by law. This sits alongside the Service Terms and the Privacy Notice. If those documents conflict with this agreement on personal data, this agreement controls for the files you send for the job.
8. Electronic signature
A typed name, submitted with the checkboxes below, is intended as your signature under the Electronic Communications Act 2000 and UK electronic-signature rules for a business contract of this kind. It is not a deed. Print or screenshot this page after you receive a reference if you want a copy for your file.
